Executive Assistant

Position Overview

 

The Executive Assistant serves as a trusted partner to the CEO, providing high-level administrative and organizational support while also serving as the operational backbone of our corporate office. This is a hands-on, highly visible role suited for a self-starter who thrives in a fast-paced, people-first environment and can wear many hats with professionalism and a positive attitude.

Key Responsibilities

Executive Support

  • Manage complex calendars, scheduling, and appointment coordination for the CEO
  • Screen, prioritize, and respond to emails, calls, and correspondence on behalf of the CEO
  • Prepare agendas, briefing materials, presentations, and reports for internal and external meetings
  • Coordinate occasional travel logistics for the CEO and executive team as needed, including flights, hotels, and ground transportation
  • Manage expense reporting, reconciliation, and budget tracking for the CEO
  • Anticipate the needs of the CEO and proactively address them before they arise
  • Other duties as assigned by the CEO

Leadership Team Support

  • Coordinate and prepare materials for leadership team meetings, including agendas, pre-reads, and action item tracking
  • Support leadership team members with scheduling and ad hoc project coordination as directed by the CEO

Communication & Relationship Management

  • Serve as a professional extension of the CEO, communicating with clients, partners, and staff on their behalf
  • Foster a positive, professional workplace environment consistent with our culture and core values
  • Build and maintain trusted relationships internally and externally
  • Exercise sound judgment about what requires leadership attention vs. what can be handled independently

Office Operations

In support of broader operational needs, the Executive Assistant will also:

  • Oversee daily office functions including supplies, equipment, facilities coordination, and vendor relationships
  • Maintain organized filing systems, both physical and digital, in accordance with document management best practices
  • Coordinate leadership offsites and executive meetings; provide logistical support for company events and employee gatherings in partnership with the Culture Club
  • Manage subscriptions, licenses, and vendor contracts

Qualifications

Required

  • 3–5+ years of experience as an executive assistant or in a senior administrative role supporting C-level or senior executive leadership
  • Strong organizational and time management skills with the ability to manage competing priorities with minimal direction
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
  • Excellent written and verbal communication skills
  • Demonstrated discretion in handling sensitive and confidential information
  • Comfortable working directly with ownership and senior leadership
  • Ability to anticipate the needs of executives and proactively address them before they arise
  • High degree of emotional intelligence and professional maturity
  • Sound judgment about when to act independently and when to escalate

Preferred

  • Experience in real estate, property management, or professional services
  • Experience in a small to mid-size business environment
  • Experience with project coordination or supporting multiple stakeholders simultaneously
  • Associate’s or Bachelor’s degree in Business Administration or a related field
